Client data is gathered directly from the client at point of enquiry or point of sale, the data is then used for the purpose of the provision of providing insurance quotations as requested by the client. The firm may use the data for marketing purposes from time to time but does not pass any client details onto any third party.
The information that the firm asks for includes: Client email address, the client's full name, address for billing along with a contact number. We also collect management information that we require in order to source the insurance products requested by the client. The information is retained for the purpose of arranging and administering insurance for the client as effectively and efficiently as possible. Client data is seen by staff employed by the firm, the online web designer appointed by the firm. To maintain efficiency, these third parties will require sight of client data.
We retain client personal data to email clients further product information from time to time however, clients are able to decline further emails at anytime and to ask to be removed from our client data files.
In the event that there is a query with a clients policy or quotation needs, we will call the client on the telephone number given to us by the client at point of enquiry. We will advise who is calling and ask for the client directly by name. If a third party takes our call we leave details and refer only to the call being a customer service call in respect of a professional insurance business.
The firm may on occasion use the clients details when training new staff, when carrying out financial audits for accounting purposes and for internal research to establish how we may improve our service.
The firm do not share your personal data with any third party and train in house to prevent data being passed from business to business. On occasion the firm may be asked to provide information to regulatory bodies relating to the prevention of fraud, deception and/or money laundering. Any such enquiries are fully dated and documented.
Personal data is checked by the data controller every 6 months, any data retained with an express request to be deleted from our records, will be deleted however, for the purposes of audit, accounting, research and analysis we may retain data indefinitely. Accounting papers are retained for the minimum period set out by time limitation statute for the purpose only of accounting and audit if a client has requested that details be deleted.
Appropriate technical and organisational measures shall be taken against unauthorised or unlawful processing of personal data and against accidental loss or destruction of, or damage to, personal data.
Taking into account the state of technological development at any time and the cost of implementing any measures, the measures will ensure a level of security appropriate to:
1.The harm that might result from a breach of security; and
2.The nature of the data to be protected.
The data controller will take reasonable steps to ensure the reliability of staff having access to the personal data. In the event of the firms technological systems being upgraded measures will be taken both at the time of the design of the firms system and at the time of processing client data to maintain security and prevent any unauthorised processing.
The overall level of security on a day-to-day basis will be appropriate to the risks represented by the processing of client data.
In order that clients may check the data held about them, they may email lia@pi4uk.co.uk requesting a specific copy of their client data. The client may also contact the above email address in the event that they wish to query the firms privacy policy or if the client wishes to make a complaint relating to data protection.
